Duties Description • Review and Inventory of Incoming Remittances
o Enters identifying information into tracking databases. Accurately identify proper deposit account for further processing.
• Batches Remittances for Deposit
o Batches appropriate checks together and completes necessary paperwork to prepare for deposit. Verify accuracy of prepared batches. Complete all necessary paperwork associated with this task.
• Prepares and files paperwork
o Prepares and sends paperwork to operating unit for identification of unknown remittances. Answers questions from operating unit personnel at service window as required. Files paperwork upon receipt of a reply.
• Receive and log work requests at Service Desk
o Processing work orders for internal and building requests in Impak building systems program. Communicating with customers via email. Phone and in person. Ensure adequate information is provided. Update work orders and communicate completion with customers.
• Customer Service Window and Phone Coverage
o Greet customers on the phone or at walk up window to receive requests and field questions regarding all services provided by Office Services, including inventory mail handling (intake and distribution), room set up orders and assistance, and requests for delivery service. Handles non-standard request or when escalated or requested by customer. Assists in processing outgoing special handling mail (USPS Certified and FedEx Shipping): as necessary.
• Ordering of Stock Supplies and Retirement Forms/Booklets
o Processes requests for office supplies, furniture and forms and booklets. Verifies the requestor, quantities and shipping information is correct. Entering each order in the inventory system, creating labels and preparing a packing slip/ Upon completion of the order, process a close out of the order and notify the customer. Complete daily filings as required.
